Privacy Policy
1. Who we are
FollowHire is operated by Syncfinite Technologies Private Limited (CIN U62099GJ2025PTC166301), with registered office at 931–932, Sun Gravitas, Radio Mirchi Road, Vejalpur, Ahmedabad, Gujarat – 380015, India. In this document, "we", "us" and "FollowHire" refer to Syncfinite Technologies as the Data Fiduciary; "you" refers to job seekers, recruiters, and visitors of the platform as Data Principals.
2. What data we collect
We collect only what we need to operate the platform:
- Account data — name, email, phone number, password hash, role (seeker / recruiter).
- Profile data (seekers) — headline, experience, education, skills, expected salary, location, resume files, portfolio links.
- Profile data (recruiters) — company name, GST/CIN, billing address, team members.
- Application data — which jobs you applied to, status history, screening responses, cover notes.
- Usage data — pages viewed, searches performed, device + browser type, IP address, session timestamps.
- Communications — messages you send via our contact form or support email.
3. How we use your data
- Authenticating your account and securing sessions.
- Matching seekers to jobs (skill-overlap scoring) and surfacing relevant listings.
- Delivering notifications you opted into (in-app, email, future SMS).
- Operating the recruiter pipeline (applications, candidate search, hiring workflow).
- Processing payments for recruiter plans (via Razorpay).
- Detecting fraud, spam, and policy violations.
- Improving the product through aggregated, de-identified analytics.
4. Who we share data with
We never sell your personal data. We share strictly within these categories:
- Recruiters you apply to — they see your profile, resume, and application. Until a recruiter unlocks your contact via a paid plan, your phone and email stay masked.
- Service providers — payment processor (Razorpay), email delivery (Resend), cloud hosting (Vercel + Neon Postgres), file storage (AWS S3). These vendors process data on our instructions under written contracts.
- Legal authorities — only when compelled by a valid Indian legal process (court order, statutory notice).
5. How long we retain data
- Active accounts — for as long as you keep your account open.
- Deleted accounts — profile data is purged within 30 days; application history may be retained in anonymised form for legitimate auditing of hiring outcomes.
- Communications and support tickets — 24 months.
- Billing records (recruiter side) — 8 years, per Indian tax & corporate-law retention rules.
6. Your rights as a Data Principal
Under the DPDP Act 2023 you may:
- Access the personal data we hold about you.
- Correct or update inaccurate information (most fields are editable in /account/profile).
- Withdraw consent for processing — easiest via the unsubscribe link in any email, or the Settings page.
- Erase your account and associated data.
- Nominate a representative to exercise these rights on your behalf in case of death or incapacity.
- Lodge a grievance with our Grievance Officer (see section 11).
7. Security
Passwords are stored as bcrypt hashes. Authentication tokens are signed and rotated. Personal data in transit is protected by TLS 1.2+. Database backups are encrypted at rest. Access to production data is role-restricted and audited. We will notify affected users and the Data Protection Board of India of any qualifying personal data breach within the timeframes set by the DPDP Act.
8. Cookies & tracking
We use first-party cookies for authentication, CSRF protection, and session state. We use minimal analytics that respect Do-Not-Track and avoid third-party trackers. We do not run advertising cookies on the platform today.
9. Children
FollowHire is not intended for users under 18. We do not knowingly collect data from minors. Accounts identified as belonging to minors will be disabled and data deleted.
10. Cross-border transfers
Our primary data residency is India. Some service providers (e.g. email delivery) may process data in regions notified as permissible by the Central Government under the DPDP Act. We do not transfer personal data to restricted regions.

12. Changes to this policy
We will publish material changes with a new "Last reviewed" date and, for significant updates, notify you via email. Continued use after the effective date constitutes acceptance.
